Transforming a business to achieve an ethos of “no paper, no spreadsheets”

Over an 18 month period, Harmon Transportation underwent a complete business transformation. This included a ground-up overhaul of its operations, finance, work health and safety (WHS), and technology processes and systems. The end-goal was to rebuild the company to ensure compliance, workplace safety, financial viability, and increased efficiencies. 

Harmon Transportation was previously working with paper-based processes and spreadsheets, creating extensive inefficiencies and hindering the company from being able to scale and plan for growth. A lack of WHS compliance also exposed the business to significant legal and operational risks, and limited opportunities to service larger, Tier 1 clients. 

Under the leadership of a newly appointed General Manager, Paul Konstek, Harmon Transportation embarked on a journey to operate with “no paper, no spreadsheets”, and has never looked back.

Growing revenue by 93% with reduced admin teams

The impact of the strategic business transformation was multi-fold, resulting in a revenue growth of 93% without needing to hire additional administrative staff to manage the growing client base and drivers. The business also increased its net profit margin from break-even to approximately 17% net profit on revenue.

Going above and beyond to guarantee driver and operational safety

Harmon Transportation’s WHS framework overhaul was a top priority in the business transformation. Though not necessary for operations, the business set out to and achieved Western Australia Heavy Haulage Accreditation (WAHVA), which enabled the team to explore new opportunities with higher-value clients and have the confidence that the business was operating at the highest standards of workplace safety and compliance. 

Konstek said, “We have drivers going incredible distances, sometimes on dirt roads with kangaroos, bulls and emus along their path. The safety of our drivers and the people they interact with is paramount. We truly live and breathe safety. That’s why we made a conscious and proactive decision to do our utmost during this business transformation to put safety and compliance front and centre of everything we do moving forward.”

Cutting onboarding times by 70% to accelerate operational efficiency

As a business that prides itself on speed and respecting clients’ time-sensitivities, improving the operational efficiency of the business was key to enabling faster and higher quality services. 

Due to Avetta’s tailored onboarding processes and deep industry expertise, Harmon Transportation has been able to cut time spent on onboarding by an average of 70%, in comparison to other systems. 

Konstek added, “When working with clients using other systems or their own bespoke systems, they are often not tailored for their industry or business, leading to a lot of back and forth simply to clarify what the questions mean. It wastes a lot of time. Instead, working with Avetta, we’re onboarding in 30% of the time and getting our people moving faster.”

Ensuring any red flag, no matter how small, is identified and actioned immediately

Harmon Transportation uses Avetta alongside its own internal systems, and acts as a cross-reference point for data accuracy and potential compliance-related red flags. Since the business transformation, Harmon Transportation has been able to quickly identify the gaps or inaccuracies, and either reconfirm what they believe to be right or address the missing piece straightaway. 

Konstek said, “Avetta gives us the confidence that we’re constantly checking our own systems and processes for potential mistakes and opportunities for improvement. Every time we onboard with Avetta, it’s like an extra kind of audit in itself. We pick up things as we go and are always looking for ways to do better. It could be just one thing per year or something minor, but these continuous actions ensure we are constantly and proactively improving our compliance. That’s important to us.”

He continued, “Now that we’re working with Avetta, it’s a lot less sleepless nights. It’s a great system to use with our own systems to ensure we’re not missing anything. Every onboard is fantastic. It tests us to make sure we are compliant with our clients’ requirements and that’s been essential to our growth.”

Planning for further growth with Avetta

Business growth was not a priority during the 18-month transformation, despite being a clear outcome. Looking ahead, Harmon Transportation now has the strong operational, finance, technology and governance foundations to grow. 

Konstek concluded, “We’ll soon be looking to expand our own networks and onboard our own subcontractors as part of our business growth plans, and will look to Avetta when we get to that stage. Avetta is painless and very efficient in terms of onboarding. We’ll want to ensure that experience continues and extends to our subcontractors in due course.”
